FAQ’s

    1. If I am renewing or obtaining my passport but have no guarantees on when it arrives, how do I proceed with my registration? If it does not arrive in time, do I need to reimburse Gillis for 50% fees?

Advise us immediately if you are not guaranteed that your passport will be in on time, so Gillis can book you a refundable air ticket. We want to avoid at all costs, last minute cancellations.

    1. Will I be reimbursed for the costs relating to obtaining or renewing my passport?

Gillis will not reimburse costs or expenses related to renewing or obtaining your personal passport.

        • All business-related travel expenses to/from Cancun can be expensed. These include, but are not limited to: Transportation to/from your home airport
        • Parking at your home airport 
        • One (1) checked bag
        • Meal at airport
 
    1. Can I expense phone calls, data and texts while we are out of Country?

The hotel offers free calls to the US/Canada and has free Wifi throughout the resort for data, texting and Wifi calling. There should be no need to purchase additional plans while out of the country. If anyone chooses to do so, it will be at their own expense.

    1. Since we are required to travel on Sunday, December 8, 2024, will employees be extended a Lieu Day?

An additional PTO day will be added in Bamboo after the meeting.

    1. Can my spouse or guest fly in early and stay during our meeting?

The “Holding our Piece” meeting is for our team members only during the dates December 8-11, 2024. Guests arriving on December 10th are welcome to join us for the farewell dinner.

    1. Can I extend my time in Cancun?

All PTO requests must be submitted in advance, for consideration and approval to your Director of Sales as per usual. All your stay charges outside of meeting dates (transportation, accommodation, etc) would be at your own expense and paid in advance.

Gillis Consulting & Training Inc. has secured a group rate at Secrets The Vine of approx. $430.00 USD, per person, per night, available to you at your own cost, for two days after our event, based on availability. Your request for an extended stay can be made during registration.

Gillis Consulting & Training Inc. will be providing airport transfers on main program dates only, Sunday, December 8, 2024 and Wednesday, December 11th, 2024. Transfers outside of these dates are at your own expense.

If you and/or your guest are extending your stay in Cancun and need assistance arranging transportation to Cancun International Airport (CUN), MCC recommends contacting Tropical Incentives – Miriam Martinez at miriam.martinez@tropicalincentives.com or +52-998-121-8013.

    1. Can I bring a guest?

Yes, if you have a guest that will be joining you during these additional nights, you will indicate so during registration.

      • Your guest is also welcome to join us for the Farewell Dinner on Tuesday, December 10th, 2024. If this is the case you will be responsible for paying the difference between the single rate of $430 USD to the double occupancy rate (Only applicable for the night of December 10th, 2024)
      • If you decide to take advantage of the discounted group rate offered on December 11th and 12th, this will be at your expense.
      • Once your request is reviewed and confirmed by MCC, you will be notified via email, and will receive a link directly from Secrets The Vine to submit payment for the additional nights. You will also be responsible for any cancellation penalties, per the hotel’s policy.
      • Gillis will not be responsible for booking/paying for your guest’s flight or transfer from and to the Airport. MCC recommends contacting Tropical Incentives Tropical Incentives – Miriam Martinez at miriam.martinez@tropicalincentives.com or +52-998-121-8013.
    1. Can I pick my flight details (airline, arrival time/departure time)?

Flights will be purchased at best cost option and schedule available at the time of ticketing. If an attendee prefers a different schedule or carrier, and if the different schedule or carrier comes in at a higher cost, the attendee will be responsible to pay the difference in cost at the time of ticketing.

    1. Will I need to bring my laptop?

Yes, please bring your laptop. This will ensure that you are able to action or respond to any urgent needs of our clients. Additionally, we may need our laptops during sessions.

    1. Will Gillis send out a message to our clients letting them know we are out of office?

A formal message from Gillis will not be sent to our clients. This can be managed by each POD. Your DOS will communicate to you how to message our clients so they know we will be handling any urgent requests while we are away.

    1. How much will my credit card be authorized for incidentals?
      The resort may authorize your credit card in the amount of $100 USD per day for Incidentals. A friendly reminder to advise your bank or credit card company that you will be traveling to Mexico to avoid any issues of “suspicious activity”.
    2. What if I need to cancel my attendance at the Offsite Meeting? 

If employees cancel and are unable to attend the Offsite Meeting, Gillis reserves the right to request a 50% reimbursement of the accommodation and airfare cost. Exceptions will be made for any unforeseen circumstances such as serious illness or injury to participants and/or immediate family members.
